We are seeking a Project Coordinator to join our PDSG team based out of Stouffville, Ontario
Under our Project Delivery Services Group, the Project Coordinator plans, organizes and directs the activities of multiple projects, under the direction of the Project Managers. This role is responsible for managing the day-to-day activities associated with all projects. The Project Coordinator role is critical in ensuring timelines are met and all decisions made related to clients and projects are accurate and up to date.
Responsibilities
- Carry out and control all project administration, including cost control, schedule control and change order administration
- Manage Administrative tasks and proactive plans related to Permits, Locates, Purchase Orders, Material Tracking, Transmittals/Submittals, Change Requests/Orders, Job Set-up, drawing file updates and Project Reports)
- Provide support to the Project Manager and Site Management with safety planning and document retention
- Work with functional group leads as needed to revise scope and structure as the project progresses and needs of the client/project evolve
- Liaise with client and subcontractors for weekly update meetings and coordination
- Generate invoices as required and collaborate internally with Accounts Receivable and Payable
- Gather status updates and prepare project reports (daily, weekly, monthly etc.) and provide to the PM
- Draft, analyze and summarize documentation used in reports, plans, presentations, and Visio diagrams, customizing graphics and presentation as necessary for the Project Lead to visualize the task and resource interdependencies
- Ensure timely delivery of project data to the customer and stakeholders at milestones throughout the project
- Ensure full compliance with all health, safety and environment procedures and requirements
- Effectively interface with internal project stakeholders, project managers, fleet, tools, and facilities
- Review and submit weekly timesheets for accuracy
- Prepare construction handover packages and close out documentation
Qualifications and Requirements
- Post-Secondary education in Construction, Project Management, Engineering, or related field and/or a combination of education and experience
- Minimum of three (3) years of project coordination and administration experience is required
- PMP designation or working towards is an asset
- One (1) year or more experience in the construction and/or utility industry is required, trades knowledge and field experience is considered an asset
- Strong public speaking and effective written and interpersonal communication skills
- Demonstrated experience multi-tasking, organizational, and time management skills
- Ability to work on tight deadlines and, at times, in high stress situations
- Advanced experience using Microsoft 365, including the ability to create reports, documents, presentations and spreadsheets in MS Word, MS Excel, and MS PowerPoint, basic knowledge of MS Project
- Valid Driver’s License and ability to travel as required
