We currently have an opportunity available to be based out of Calgary for the position of Project Administrator
The Project Administrator performs a variety of administrative tasks in support of the Project Managers. Using advanced computer skills and strong organizational abilities, the Project Administrator assists in the effective day-to-day operations of the division in successful completion of projects.
Responsibilities
- Provide support to project team through day-to-day coordination of ongoing projects and related project requirements including purchase orders, material tracking and project reports
- Effectively interface with internal project stakeholders, project managers, fleet, tools, and facilities
- Responsible for entering all project data in electronic systems such as creating invoices, Excel data entry and tracking payables
- Review and submit weekly timesheets for accuracy
- Coordinate and book meetings as required
- Assist with construction handover packages and close out documentation
- Maintain all project documents – file structure management
- Generate invoices as required and collaborate internally with Accounts Receivable and Payable
- Ensure timely delivery of project data to customers and stakeholders
- Identify material requirements and procurement and issue Purchase Orders
Qualifications and Requirements
- One to three (1-3) years experience in a financial/administrative role
- Post-Secondary education is required. Focus in Business Administration or related field is preferred
- Experience with accounting and ERP platforms is an asset
- A Professional Project Management designation or demonstration of working towards same is an asset
- Experience with sage is an asset
- Highly organized with ability to multitask and meet tight deadlines
- Strong attention to detail, accuracy and able to maintain the highest quality of written and verbal communication skills
- Excellent Microsoft Excel skills; Proficient in Microsoft Office, Microsoft Word, and general computer skills
- Ability to adapt quickly to changing demands
- Ability to protect confidential and sensitive information
- Self-motivated with the ability to work independently with minimal supervision as well as a team player
